TERMS AND CONDITIONS FOR EVENTS AT HAFJELL HOTELL
1. Ordering
The number of participants, price, accommodation, catering, and other goods and services to be provided by Hafjell Hotell, are stated in the confirmation.
2. Validity of the price agreement
The agreed prices are binding on both parties.
However, the hotel reserves the right to adjust prices as a result of changes in costs due to increased taxes and fees, or other circumstances beyond the hotel's control.
3. Cancellation of accommodation units and other goods and services
All cancellations and changes to the booking must be notified to Hafjell Hotell AS in writing to be valid.
Cancellation free of charge can be made according to the following scale:
8 weeks before arrival day for events over 50 room nights
4 weeks before arrival day for events up to 50 room days
NOTE: 1 room night = 1 room for 1 day
For cancellation of pension later than the above deadlines, the customer will be charged 55% of the agreed price for pension for the booked number of days. Room rates will be charged in full.
The above cancellation deadlines also apply to other goods and services that have been ordered.
In case of cancellation on the day of arrival, or no-show, the customer will be charged 100% of the agreed price for the entire stay.
In case of cancellation within the set deadlines, any advance will be refunded.
If the booking is made closer than 5 weeks before arrival, the following rule applies:
The confirmation must be returned in signed condition within 3 days after the booking is made, and cancellation of the entire event cannot then be made. Otherwise, the rules on reductions apply as below.
4. Reduction in the number of participants
Reduction deadlines and financial consequences:
2 weeks before arrival - 20% of the originally booked number of participants with no financial consequences for the booker
1 week before arrival - 10% of the originally booked number of participants with no financial consequences for the booker
Reductions cannot be made later than 10 days before arrival.
In the event of reductions in the number of participants later than the above deadlines, the customer will be charged in full.
5. Payment
In the event of late payment, interest accrues in accordance with section 3 of the Default Interest Act, currently 12% p.a.
A separate bill will be created for each participant for services that are not included in the price quote. The customer is responsible for all unsettled participant bills.
6. By invoice
In the case of an invoice, the invoice/credit form must be filled out and sent to Hafjell Hotell AS no later than 48 hours before the event. Forms are available on request to Hafjell Hotell AS. Please note that a fee of NOK will be charged when invoicing. 65,-.
7. Deposit
Hafjell Hotell AS reserves the right to ask for a deposit/bank guarantee.
8. Exhibition
When renting the entire hotel, exhibitions can take place in meeting rooms and common areas by agreement with the hotel. If there are also other groups in the hotel during the exhibition period, exhibition rooms must be limited to areas that are not used as common areas by other guests. If the hotel's staff is needed for rigging exhibitions, the hotel will incur additional costs in connection with this.
9. Name list/course program
A list of names and any course program must be sent to Hafjell Hotel no later than 2 weeks before arrival. In the event of a possibly. Allergy/vegetarian, this must be added to the list.
10. Disposition of accommodation units
Booked accommodation units are guaranteed to be ready after 15:00 on the day of arrival, and can be used until 11:00 on the day of departure. The accommodation unit can be used beyond this time by agreement with Hafjell Hotell AS.
11. Liability for damage
The customer is responsible for any damage caused to the company as a result of negligent or intentional conduct by the participants.
12. Force Majeure
Events beyond the control of the contracting parties – such as strikes, lockouts, fires, etc., which make it impossible to fulfil the obligations of this agreement – give the right to terminate the agreement without liability.
13. Jurisdiction
All disputes that may arise between the parties to this agreement or on any other basis, or between guests and Hafjell Hotell AS, shall be dealt with in accordance with Norwegian law. If the dispute is not resolved amicably, Hafjell Hotell AS shall have jurisdiction.
